MEET matchmaking platform — matchmaking.meet-travel.fr

This document has two parts: Part I — Terms of Use, governing access to and use of the Platform; and Part II — Privacy Policy, governing the processing of your personal data. Both are distinct from the General Terms and Conditions of Sale (GTCS), which govern the commercial relationship between MEET and its exhibitor clients. The French version prevails over any translation.
Part I — Terms of Use
These Terms of Use (“Terms”) govern access to and use of the matchmaking platform available at matchmaking.meet-travel.fr (the “Platform”), operated by MEET Travel and Events, a SAS with share capital of €1,000, registered office at 48 rue Raspail, 31400 Toulouse, France, registered with the Toulouse Trade and Companies Register under number 933 775 306 (“MEET”). They apply to any user of the Platform (the “User”), visitor or exhibitor.
1. Purpose
These Terms define the conditions under which the User accesses and uses the Platform in connection with an event organised by MEET, for professional matchmaking (profile management, meeting requests and management, messaging, agenda).
2. Acceptance
Accessing and using the Platform constitutes full acceptance of these Terms. On first login, the User may be asked to accept the current version to proceed. These Terms may be updated from time to time; the applicable version is the one published online at the time of use.
3. Access and account
Access is reserved for persons registered for a MEET event. The User’s personal account is created by MEET upon their registration; the User then completes their profile and keeps their information up to date. The User undertakes to provide accurate, up-to-date information, is solely responsible for the confidentiality of their credentials and for all activity from their account, and must inform MEET without delay of any unauthorised use.
4. Acceptable use
The User undertakes to use the Platform in accordance with its professional matchmaking purpose and to behave respectfully. In particular, the User must not:
use the Platform for unlawful, fraudulent or non-event-related purposes;
misuse the messaging feature for unsolicited soliciting (spam) or to distribute offensive content;
extract, collect or reuse, by any means, the data or contact details of other participants outside matchmaking purposes;
impersonate a third party or create an account on someone’s behalf without authorisation;
attempt to disrupt, circumvent or compromise the operation or security of the Platform.
Any breach may result in suspension or deletion of the account (Article 9).
5. Service availability
MEET uses reasonable efforts to keep the Platform accessible. The Platform is provided “as is”; access may be temporarily interrupted, in particular for maintenance, updates or events beyond MEET’s control. MEET does not guarantee continuous, uninterrupted availability.
6. Intellectual property
The Platform, its software, architecture, databases, content and graphic elements, and MEET’s trademark and distinctive signs, are the exclusive property of MEET or its partners. No rights are transferred to the User. The User may not reproduce, extract, adapt or exploit the Platform or its components without MEET’s prior written consent, and retains ownership of the content published on their profile, granting MEET a limited licence to use it solely for operating the Platform.
7. Personal data
The processing of the User’s personal data is governed by Part II — Privacy Policy, which forms an integral part of these Terms. MEET acts as data controller.
8. Liability
MEET is bound by a best-efforts obligation in providing the Platform. MEET uses reasonable means to enable the User to obtain meetings but does not guarantee any minimum number of meetings, which depends on external factors such as the availability and interest of other participants. MEET is not liable for the conduct of other participants, the accuracy of information they publish, or the holding, content or outcome of meetings. MEET’s liability is limited to direct, proven damages, excluding any indirect damage. Financial and liability terms relating to the event service are governed by the GTCS.
9. Suspension and termination
In the event of a breach of these Terms, MEET may suspend or delete the User’s account, without notice in the event of a serious breach, without prejudice to any other right. After the event, account access changes as described in the Privacy Policy (retention period).
10. Governing law and jurisdiction
These Terms are governed by French law. Failing amicable resolution, any dispute relating to their validity, interpretation or performance falls under the jurisdiction of the competent courts of Toulouse, France.
Part II — Privacy Policy
1. Introduction
MEET Travel and Events, a SAS with share capital of €1,000, registered office at 48 rue Raspail, 31400 Toulouse, France, registered with the Toulouse Trade and Companies Register under number 933 775 306 (“MEET”, “we”), organises B2B professional matchmaking events in the tourism sector and provides participants with a matchmaking platform at matchmaking.meet-travel.fr (the “Platform”). For data processed via the Platform, MEET acts as data controller.

3. Purpose of the Platform and roles
The Platform lets participants in a MEET event (visitors and exhibitors) hold a personal account, complete their profile, be matched, request/accept/decline meetings, exchange messages and view their agenda. MEET is the data controller for data entered on the Platform and relies on MEET’s processors acting on its instructions (hosting, email sending, development / maintenance), listed in section 7.
4. Data we collect
4.1 Account and profile data
Provided at your registration for the event, then completed by you from your account: name, job title, email, company and company contact details, phone number, destinations and areas of interest, company information, and any information you add to your profile.
4.2 Platform activity data
Generated by your use of the service: meeting requests, confirmed / declined / moved meetings, messages exchanged, agenda and slots, participation status.
4.3 Navigational data
Relating to your device and browsing: IP address, connection data, browser type, pages viewed, visit duration. See section 11 (Cookies).
5. How we use data
5.1 MEET does not sell your data
MEET never sells your personal data to third parties.
5.2 Purposes
Your data is used to:
create and manage your account and profile;
operate the matchmaking: relevant meeting suggestions, management of requests, agenda and messaging;
send you service-related emails (credentials, meeting confirmation or changes, message received, agenda reminders, booking closing);
send you, where applicable, event-related communications and, with your consent, information about our upcoming editions;
produce, where the organiser provides for it, event materials (participant list, catalogue, badges).
5.3 Legal basis
Processing relies, depending on the case, on: performance of the service you take part in and MEET’s legitimate interest in organising the event; your consent (marketing communications and analytics cookies); MEET’s legal obligations, where applicable.
6. Testimonials
MEET may publish participant testimonials that may contain personal data, only after obtaining your written consent.
7. Data sharing and processors
Your data may be shared with:
other participants of the event, limited to profile information made visible for matchmaking;
MEET’s processors, acting on MEET’s behalf and instructions:
– Hosting: OVH SAS, 2 rue Kellermann – BP 80157 – 59053 Roubaix Cedex 1, France;
– Email sending: Mailjet (Sinch — European Union);
– Development / maintenance: external technical provider (Joseph de Gersigny).
8. International transfers
MEET’s providers (hosting, email sending) are located in the European Union and your data is hosted there. No transfer of your data outside the EU takes place in operating the Platform. Any future transfer would be covered by appropriate GDPR safeguards (standard contractual clauses or equivalent).
9. Retention period
Your data is kept for as long as necessary for the purposes described above:
after the event, your meetings and your contacts’ details remain available on the Platform for one (1) month, so you can retrieve them;
beyond that, this data is archived (no longer freely accessible on the Platform);
your profile data (personal and company information) is kept to offer you our future events for a maximum of three (3) years from your last contact with MEET, on the basis of our legitimate interest and subject to your right to object;
you may request deletion of your data at any time by writing to contact@meet-travel.fr, unless a longer legal retention applies.
10. Security
MEET implements technical and organisational measures to protect your data against unauthorised access, use or disclosure, including hosting on secure servers and encryption of communications (SSL/TLS).
11. Cookies
The Platform uses cookies necessary for its operation (session, security, authentication, remembering your preferences), which do not require your consent, as well as an analytics cookie (in particular clicks on sponsor logos) placed only with your consent, via the dedicated banner. MEET uses no advertising cookies. See the Cookie Policy for details.
You can configure your browser to block or delete cookies at any time; blocking necessary cookies would prevent the Platform from working properly.
12. Your rights
Under the GDPR, you have the following rights over your data: access; rectification; erasure; objection and restriction of processing; portability; and the right to withdraw consent at any time and unsubscribe from marketing communications via the link provided.
